Time Reporting

We have recently received a number of requests to update timecards or process missing punch forms, only to later discover that the employee arrived later, in some cases, significantly later, than the time reported.

Additionally, on several occasions, we have identified instances where time was intentionally misreported in order to qualify for the weekend Baylor bonus, despite not meeting the on-time arrival requirements.

Falsifying time records is considered timecard theft and is not acceptable.

While we are not singling out individuals at this time, if you have participated in this practice, please consider this a formal warning. Moving forward, any intentional misrepresentation of time worked or arrival times will not be tolerated.

Please ensure all punches, corrections, and missed punch forms are accurate and truthful. If you have questions about timekeeping expectations, please reach out to HR or your Manager.

Fragrance Free Policy

This is a friendly reminder to all clinical staff of University Village’s fragrance-free policy. Due to the nature of the residents and patients we serve, it is very important that we refrain from wearing perfume, cologne, heavily scented lotions, body sprays, or any other strongly fragranced products while at work.

Recently, we have received reports of respiratory distress and migraines that may be linked to exposure to strong scents. Even products that may seem mild to some individuals can trigger significant reactions in others.

We appreciate your commitment to maintaining a safe and comfortable environment for our residents, patients, visitors, and fellow team members!

PTO Usage:

University Village is proud to offer a generous Paid Time Off (PTO) program that provides full-time employees with approximately one month of paid time away from work each year. This benefit is designed to support rest, personal needs, and work-life balance while ensuring employees continue to receive compensation during approved time off.

As a reminder, PTO requests may only be approved if sufficient PTO hours are available in your balance. Employees may not take time off beyond their available PTO allotment unless they are on an approved leave of absence in accordance with company policy.

Because our operations require appropriate staffing and coverage, we are unable to support extended absences beyond the PTO and leave benefits provided. Requests for time off that exceed available PTO balances will not be approved. Additionally, unscheduled absences that exceed an employee’s available PTO or otherwise violate attendance policies may result in corrective action.

We encourage all employees to plan ahead and use their PTO throughout the year. If you have questions about your PTO balance, leave options, or attendance requirements, please contact Human Resources.

Parking / Lot 3:

To help ensure the best experience for our residents and their visitors, we ask all employees to refrain from parking in Lot 3.

Lot 3 is located closest to resident dining and is intended to provide convenient access for residents, their family members, and guests. Many of our residents have mobility limitations, and maintaining available parking in this area helps support their independence, comfort, and ability to participate in community activities.

Because our campus generally does not restrict employee parking, other than spaces specifically designated for a particular purpose, we ask for your cooperation in keeping Lot 3 available for those who need it most. We appreciate your understanding and in helping us create a welcoming and accessible environment for our residents and their loved ones!
